Notes for organizers running an event at SCBX NEXT TECH.

Internet

  • The venue provides Wi-Fi access.
  • However, the connection may be unstable or unreliable during events.
    • Mobile internet is recommended for livestreaming or other critical network-dependent tasks.
    • AIS generally provides a stronger signal than Dtac inside the venue.
  • Always test the internet connection before the event begins.

Video

  • The venue uses a standard display system.
  • Standard presentation slides and video output are recommended.
  • No special aspect ratio adjustments are required.
  • Test the presentation laptop with the venue display before attendees enter the room.
  • Bring your own HDMI adapter if using USB-C devices (e.g. MacBook).

Audio

  • The venue provides a digital audio mixer.
  • The mixer model may vary between events, so organizers should not assume a specific mixer will always be available.
  • Verify the available inputs, outputs, and routing before the event begins.
  • If recording or livestreaming, request an XLR or AUX output from the venue's audio engineer whenever possible.
    • Ask the sound engineer to provide a dedicated recording mix containing microphone signals only.
    • Do not include background music, presentation audio, or system playback in the recording mix unless specifically required.
    • A microphone-only mix provides a clean audio feed for livestreaming, recording, AI transcription, and post-production.
  • Perform a complete microphone and playback test before the event starts.

Livestream

  • Test both audio and video at least 60 minutes before the event.
  • Verify that the program audio is received correctly by OBS or other streaming software.
  • Prepare a backup recording whenever possible.
  • Bring spare HDMI cables, USB capture devices, and adapters.

Presentation

  • Presentations should be prepared in 16.
  • Use high-contrast slides for better visibility.
  • Embed custom fonts or export slides as PDF if font compatibility is a concern.

Pre-event Checklist

  • Verify internet connectivity.
  • Test presentation output.
  • Test audio from all microphones.
  • Verify the recording mix from the audio engineer.
  • Confirm that the recording mix contains microphone signals only.
  • Verify recording and livestream audio in OBS.
  • Check OBS recording and streaming settings.
  • Confirm power availability for all equipment.
  • Prepare backup internet and HDMI cables.

Known Issues

  • Venue Wi-Fi may become unstable during busy events.
  • Mobile internet is generally more reliable for livestreaming.
  • The available digital mixer may differ between events, so always verify the setup before the event begins.
